Open the detailed procurement checklist
| Item | What to record or confirm |
|---|---|
| Reference & quantity | Your opening code, website reference and offered supplier model; quantity for each distinct configuration; whether the price is per leaf, complete set or another stated unit. |
| Construction | The specified decorative facing, leaf construction and frame. For copper-looking finishes, distinguish the agreed material from the appearance shown in the reference image. |
| Size & configuration | Confirmed size basis, leaf arrangement, opening direction, side panels, overhead panels and any configuration-dependent exclusions. |
| Finish & samples | Finish description or approved sample reference, the approval method and whether samples or revised drawings involve a separate cost. |
| Frame & trims | Frame, architrave, threshold, seals and associated parts where applicable. Identify items included in the set and items to be provided separately. |
| Hardware & glazing | Lock, cylinder, handles, hinges, closer, access-control interfaces and glazing where specified. List the offered components and their suitability review. |
| Technical evidence | Any project requirement and the exact offered model or assembly to which supporting evidence applies. Request clarification where the scope is not yet confirmed. |
| Packing & delivery | Packing type, package identification, quoted destination and shipment scope. Separately clarify unloading, site handling, installation and destination charges. |
| Commercial approval | Currency, quote validity, payment schedule, agreed delivery basis, exclusions, change process and the approvals required before the production schedule is confirmed. |
Use three clear statuses.
Included
The item and specification are expressly listed in the quotation.
Excluded
The item is outside the quoted scope; identify who will provide it.
To be confirmed
A detail is still open. Record the question and confirm it before the relevant approval.
Why a starting price needs a configuration.
Dimensions, construction, finish, hardware, quantity and delivery scope can change the quotation. If comparing a starting price, ask which configuration and purchasing conditions it covers. The selected custom configuration should be priced separately when those details differ.
Keep a record of changes.
When a size, finish, lock or quantity changes, ask for the quotation and relevant drawing to be updated together. Use a revision date or reference so the buyer, supplier and installer can identify the same agreed version.
